2025 Guide
Work In Progress - please send any suggestions to Dave (palmacsoccer@gmail.com)
The Summer 2025 season is known as "2024-2025" in the New York State system. This season covers 09/01/24 - 08/31/25.
NYSW changed registration platforms (beginning with the 2023-2024 seasonal year) to GotSport (sometimes referred to as GotSoccer). A few important informational links:
- Registration Overview - New York State West Youth Soccer
- New York West Onboarding - GotSport Training
- GotSport Login: https://system.gotsport.com/
- Read about GotSport Affiliated Users: Program Registration - GotSport Training
Information flow:
- Instructions here assume that your club manages its own player registration locally (paper forms, club websites, etc.).
- The other option is for a club to become an Affiliated User, and then have parents register their children directly into GotSport. See link #4 above.
- Player information must be exported from your local records, and then imported into GotSport. (Club admin can do this manually, or through a bulk import process.)
- Then, team rosters can be constructed, and player passes can be generated.
Our second year in GotSport
- Because all returning clubs used GotSport last year to register, the players and teams created last year will be there already. Of course, some adjustments will be needed, since kids have migrated age brackets, etc., but it'll be less work than last year (which was our first).
- Check out Steps to Prepare for Season Transition if Using a Non GotSport System for Registration – GotSport
- The directions below are for how I moved into the second year. The link just above is GotSport's description of how to proceed -- use whichever one you are comfortable with.
- In general, you do not need to create new teams -- you can modify the rosters for the teams you already created.
- You can leverage all players whose information has not changed.
Player Information
Assuming you have a local set of player registration data (a spreadsheet, database, etc.), there is a process to send your local data to GotSport:
- IMPORTANT: Players already in GotSport from prior years are STILL THERE. You do not need to re-import them! That means if their birthdate was already verified, it does not need to be verified again.
- Once your local data is ready, you have to EXPORT it into a CSV file (or manually create one). The CSV file is a plain text format that can be made using Excel. It needs the following information (one header row, and one row per player):
-
Column Header Text (row 1) Data rows (row 2+) (italic= example)
A First Name Jane B Last Name Doe C Gender Female or Male D DOB 12/2/2014 or 2014-12-02 E Competitive Level Competitive or Recreational F Address 123 Elm St G City Mayberry H State NY I Zip 14555 J Phone Number 5855551212 K Parent One First Name John L Parent One Last Name Doe M Parent One Email/UserID johndoe567@gmail.com
Notice there is no photograph as part of this upload. You can either acquire the headshots from the parents and then add the pictures to GotSport on your own., or you can ask the parents to upload the player photo into the system directly.
To import the CSV file, go to GotSport, choose Club Management / Players, then Upload Players. Use the Affiliation USYS, then browse to your CSV file and finally, Open Selected File.
For brand new players, you will need to verify the proof of birth in GotSport, the same as you had to do in Demosphere, however we do not require you to upload the documents. Each club is responsible for making sure that the information they are providing (legal name, DOB, gender) matches the proof of birth that they have seen, and verifying it within GotSport. If you have the information from previous records already confirmed and know it is accurate, you can use that information.
Team Information
Teams you created last year are still there, but they will show as being re-classified age-wise, since some of the players have outgrown the age bracket they were in last year.
- Open up each team
- Go to Team Members tab. For each player who is no longer on the team (either they did not register, or they are now too old), use the X icon at the far right to un-roster the player. Then you can add any new players to the team (provided they are seen in GotSport now).
- On the Team tab, Change the Age Group if necessary (your U13 team may show as U14 because of older players, so in that case you will need to change it back.
- Save all your changes, and refresh the Teams list. The age classification should be correct.
Registering your Club teams for the 24/25 Competitive Season
Once you have all your teams ready to go:
Under Club Management, Choose Team Registrations and then click on the Registration tab.
Look for the event 24/25 - NYSWYSA Registration Event - Competitive Cards & Rosters, then click on Register.
You'll see a list of teams. When you are ready to register all of those teams (and incur the associated fees), look for this at the top of the page to proceed:
