BEFORE your Members apply for a Background Screening they MUST check to make sure their GotSport account profile contains LEGAL NAME, VALID DOB & CORRECT PHYSICAL ADDRESS or any existing, valid background status will NOT have transferred over to their account.

If corrections are needed, the Member Applicant MUST correct their record and then WAIT 24 hours BEFORE submitting a new Background Screening so the system can re-assess whether they have an already valid Screening from Sports Engine.  NYSWYSA CANNOT REFUND SUBMITTED APPLICATIONS. Make sure they check their records.

The same condition holds true for Safe Sport. If the applicant wants credit for previous training, their record must be complete as indicated in previous RM System Messages.

(2024.A) The Background Screening will remain a 2-year Credential but will now become a REVOLVING calendar year credential.  For example, if an applicant applies for and clears their background on 1-15-2024 then their background will be good thru 1-15-2026.  The former static calendar year of 1-1-XX to 12-31-XX no longer applies.  Adjustments to expiration dates have been made to staff that have completed backgrounds in the last 6 months.

(2024.B) The Safesport credential will remain as an ANNUAL REVOLVING calendar year credential.. Safesport training occurs in the following sequence by federal law: Core - Refresher 1- Refresher 2 - Refresher 3 - Return to Core. The grace period to complete Safesport has been CHANGED to 45-days in order to comply with federal law and USSF Bylaw 212-3. It is imperative that staff use their Legal Name, DOB and the SAME Email address for GotSport, Safesport & the Learning Center in order to ensure credential synchronization.

(2024.C) Beginning with the 2024 season, there will no longer be any physical Risk Management cards. Because the system is now integrated electronically and risk management status (including suspensions, revocations, etc.) reflects instantly in certified rosters the use of a physical card has become obsolete. The system also provides instant notification to club admins, staff and other necessary parties of status changes. NYSWYSA will continue to provide RM verification where necessary for tournament registrations and other activities which require RM validation for participation. 

(2024) The use of pre-purchased codes for Risk Management is available in GotSport.

If your Club intends to use pre-purchased RM codes in GotSport, your Club must designate a Registered Billing Agent (usually a Treasurer) BEFORE you begin the Risk Management process for your Club  In order to do, you will need to send the following information to mkozak@nyswysa.org

1.) Registered Agent's Name (Treasurer or other designee) (NOTE: They must appear in your Club Admin Staff List)

2.) Registered Agent's GotSport Account Email Address (this must match their GotSport Admin email)

Upon receiving this information, NYSWYSA will create a Code Use billing account within your NYSWYSA Club Account and then send you instructions on how to complete and maintain this account. The Club will need to designate a club credit card or ACH/Checking account for this step.

Remember that the only cost for risk management is the $35.00 fee for the ADULT 2-year background screening (Minor RM applicants remain free of charge and only require a Parental Attestation).  Safesport and other credentialing are also free of charge. So you will only need to provide Codes to those Adult (18 & Older) club members that need to have a new background screening done.
